Terms of Service

Rebrand notice: CareerVertex HR is now WardHR — the same service and the same operator under a new name. References to WardHR in these Terms cover the service previously provided as CareerVertex HR, and acceptances, records and agreements made under the old name remain valid.
1. Acceptance
By accessing or using WardHR ("the Service"), you agree to these Terms of Service on behalf of your organisation. If you do not agree, please do not use the Service. By subscribing you explicitly accept these Terms and our Privacy Policy.
2. What we offer
WardHR is an HR compliance and line-manager assistant for UK employers. It provides:
- A free compliance health check (no account required).
- HR-in-a-box: an employee register, UK-law-grounded document generation (contracts, offer letters, handbook, policies) with human sign-off, policy acknowledgements, statutory leave/absence records with six-year retention, a compliance score and fix-it actions, a deadline/law-change tracker, and an audit export.
- A manager copilot: case-based, grounded guidance and generated letters for situations such as probation, sickness, performance, disciplinary, grievance, flexible working, return-to-work and leavers.
- Fixed per-seat monthly subscriptions (£500/admin and £200/user per month) that include AI usage.
3. Your account and organisation
Every account is an organisation (the employer). You sign in via a one-time code sent to your email — there's no password to manage. Owners and admins manage billing and members; managers and members use the features. You are responsible for:
- Keeping email accounts secure (anyone with access can sign in).
- The accuracy of the employee and organisation information you provide.
- Activity that occurs under your organisation's accounts and seats.
4. Acceptable use
You agree not to:
- Upload content you do not have the right to process.
- Use the Service in violation of any applicable law.
- Attempt to probe, scan or compromise the Service's security.
- Share account credentials or one-time codes with third parties.
- Use the Service to harass others or to generate misleading content about a real person.
5. Payment and AI usage
The service is provided through your insurance provider or distribution partner and is billed to them centrally — there is nothing to pay in the app. Usage (active users and AI actions) is metered and reconciled with your provider under your provider's plan. AI usage (guidance, document and letter generation, the assistant) is included under a monthly fair-use allowance.
Fair use. Included AI is subject to reasonable fair-use limits to protect the Service from abuse. We will contact you before restricting access for genuine business use.
We may change our prices with at least 30 days' notice; price changes never apply retroactively to a period you have already paid for.
6. AI output, no legal advice, your responsibility
The Service uses third-party AI models to generate documents, guidance and letters, grounded in a UK employment-law corpus and your own policies and records. WardHR assists; the employer remains legally responsible. AI output can be incorrect, incomplete or unsuitable for your situation, and the Service is not a substitute for professional legal advice. No document is issued and no letter is finalised without your explicit human sign-off; you are responsible for reviewing and approving everything before you rely on or send it.
We make no guarantee of any specific legal, regulatory or employment outcome from using the Service.
7. Service availability
We aim for high uptime but cannot guarantee uninterrupted service. We are not liable for losses resulting from temporary downtime.
8. Limitation of liability
To the maximum extent permitted by law, WardHR's total liability to you for any claim arising out of or relating to the Service is limited to the total amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, consequential or special damages.
9. Termination
You can stop using the Service at any time, cancel your subscription and delete your account from your dashboard. Statutory records may be retained where UK law requires it (see the Privacy Policy). We may suspend or terminate accounts that breach these Terms.
10. Changes to these terms
We may update these Terms. We'll update the "Last updated" date above and, for material changes, notify account holders by email at least 30 days before they take effect. Continued use of the Service after a change means you accept the updated Terms.
11. Governing law
These Terms are governed by the laws of England and Wales. You and WardHR agree to the exclusive jurisdiction of the courts of England and Wales for any dispute.
